Participation Guidelines

Registration & Payment

Participants must:

Secure your speaker slot now! Limited opportunities available - register exclusively through our online conference form on a first-come basis.

Pay the conference fee as specified by the organizer.

Program Modifications

Globalmeetx reserves the right to modify the speaker list or agenda due to unforeseen circumstances, without liability for any resulting inconveniences.

Date Changes

If the conference date is altered, participants may cancel without charge. Globalmeetx is not responsible for additional expenses incurred by attendees.

Speaker Slots

Secure your speaker opportunity: Complete our online registration form promptly, as placements are granted in order of submission.

Code of Conduct

Globalmeetx reserves the right to cancel participation due to misconduct, with no refund provided.

Registration Process

  • Online Registration: Complete the form on our website and pay via credit/debit card or PayPal.
  • Offline Registration: Submit the invoice provided by the conference manager and complete payment via bank transfer.
  • Registration remains open until the event begins. Complete all mandatory fields (*) accurately.
  • Payment receipts are issued within 24-48 hours of successful transaction.
  • By registering, participants grant Globalmeetx permission to use their affiliation/logos for promotional purposes.

Press & Media Policy

  • Prior approval from the Globalmeetx Operating Committee is required for press access.
  • Media representatives must obtain written consent before quoting speakers or delegates.
  • Globalmeetx is an independent non-profit organization and is not affiliated with commercial meeting entities.

Insurance Disclaimer

Attendees are responsible for securing appropriate insurance coverage. Globalmeetx is not liable for loss, damage, or personal property issues.

Invitation Letter for Visa Support

To assist international attendees, Globalmeetx provides Letters of Invitation upon:

  • Completing registration.
  • Submit requests by email to support@globalmeetx.net with:
    1. Full name (as per passport)
    2. Affiliation
    3. Passport number & scanned copy
    4. Contact details & nationality
    5. Purpose (Speaker/Delegate/Presenter/Exhibitor)
  • Note:
    1. Letters are sent as PDFs to the provided email.
    2. Globalmeetx does not intervene with embassies; visa procurement remains the attendee's responsibility.
    3. Applicants should apply early and seek a Business Visa.

Cancellation, Postponement & Transfer Policies

All requests must be emailed to support@globalmeetx.net.

Cancellation

If Globalmeetx cancels, registrants receive a 100% credit for a future event within one year.

Postponement

If unable to attend rescheduled dates, registrants receive a 100% credit valid for one year.

Transfer

  • Registrations are transferable within the same organization if requested in writing with the replacement's full name, title, and contact details.
  • Transfers between conferences are permitted unless notified within 15 days of the event.
  • Transferred registrations are non-refundable.

Visa Advisory

Due to heightened security measures, attendees are advised to apply for visas early. Globalmeetx does not liaise with embassies; applicants must secure a Business Visa independently.
